Privacy and picture use
What is collected when you register, why it is collected, who can see it, and how to have it changed or removed.
Notice to the administrator: this page has unset placeholders. Set the environment variables listed in PRIVACY_CONFIGURATION.md before collecting real submissions.
What is collected
When you submit the registration form, we store:
- Your full name, as you typed it
- Your province and city
- Your date of birth
- Whether you have previously held an LSUIC position, and which one
- One picture, compressed by your browser before upload
- The date and time you submitted
- Technical details of the picture: its original and compressed size, its dimensions, and its original filename
- A one-way fingerprint of your network address, used only to limit automated abuse. Your address itself is never stored.
What is deliberately removed
Your picture is decoded and re-encoded in your own browser before it is sent. Photographs from phones and cameras usually carry hidden information including GPS coordinates, the device model and the exact capture time. That information does not survive the conversion, so it is never uploaded and we never receive it. Only the visible image is sent.
The original, uncompressed file never leaves your device.
Why the picture is collected
The picture is collected so that [CONFIGURE: organisation name] can place it on the birthday flier it publishes to celebrate you, and for that purpose only. It is not used for advertising, not shared with third parties, and not used to train any automated system.
Who can see it
Only authorised administrators of [CONFIGURE: organisation name], after signing in. Pictures are held in private storage: they have no public address, and they are only ever served through an authenticated request. There is no public gallery, and no participant can browse anyone else’s picture here.
One use is deliberately not private, and it is the reason the picture is asked for: your picture appears on the birthday flier made to celebrate you, and that flier may be shared — in union groups, or publicly. If you would rather that did not happen, please do not register a picture, or ask for it to be deleted using the address below.
How long it is kept
Registrations and pictures are retained for [CONFIGURE: retention period], after which they are deleted.
Correcting or deleting your information
You can ask for your registration to be corrected or deleted at any time. Contact [CONFIGURE: contact address] and include the name, province and city you registered with so your submission can be found.
When a registration is deleted, both the stored details and the picture file are removed together.
